Executive Assistant/Office Manager for AI Hedge Fund in San Francisco! $150,000 DOE!
We are looking for a detail-oriented, service-minded candidate. You will oversee day-to-day office operations to ensure a seamless workplace experience for employees and visitors. Typical office management responsibilities include maintaining a clean, organized, and well-stocked office; ensuring all common areas, meeting rooms, and kitchens are consistently maintained; and greeting and hosting guests to create a positive first impression. You will assist with facilities needs, including building access, office security, and maintenance requests, and serve as a secondary point of contact for building management, security, janitorial services, and other external vendors. You will coordinate onboarding logistics such as workspace setup, keycards, technology coordination, and employee welcome processes, and partner with AV consultants and internal operations teams on office logistics, equipment, and space planning. You will also manage office supplies, inventory, shipping and receiving, mail, and equipment needs, while tracking office budgets and purchasing in partnership with the Chief of Staff and Chief Operating Officer. This role requires hands-on troubleshooting of day-to-day operational issues as they arise, as well as assisting with the planning and execution of office events including happy hours, lunches, and dinners. You will serve as a central point of contact for employee office-related needs and help foster a polished, functional, and positive workplace culture. Executive Assistant responsibilities include, but are not limited to, managing complex calendars, scheduling meetings, and coordinating domestic and international travel, while anticipating executive needs and proactively managing competing priorities. You will prepare and edit correspondence, presentations, and other documents, support meeting preparation and follow-up including materials and briefings, and handle confidential and sensitive information with the highest level of integrity and discretion. The role will also include some Personal Assistant responsibilities, such as assisting with personal travel planning, scheduling medical and other personal appointments, coordinating dry cleaning services, running errands, and ordering personal supplies or products as needed. This position is ideal for someone who thrives in a dynamic, high-performance environment and takes pride in delivering exceptional operational and executive support. The ideal candidate will have a minimum of five years of recent full-time experience working in a startup or small office environment.
