SR Level Executive Assistant needed for growing AI Hedge Fund! $200,000 DOE

We are working with an exciting AI Hedge Fund to hire their first Senior Executive Assistant. Your primary responsibility will be to provide high-level administrative support to two Partners. This position requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced and collaborative environment. The Senior Executive Assistant will work closely with the Chief of Staff to ensure the Partners’ time and priorities are effectively managed, firm operations run seamlessly, and the broader team is supported in achieving its goals. In addition to professional responsibilities, this role will include some personal support tasks to help the Partners manage both business and personal commitments efficiently. You should be an excellent communicator who can maintain clarity and professionalism in all interactions. The main component of this role is managing complex calendars for two Partners and occasionally providing support to other analysts in the office. The Senior Executive Assistant will schedule meetings, coordinate domestic and international travel logistics, and prepare correspondence, presentations, and meeting materials. We are looking for a true team player who thrives in a growing company and embraces an all-hands-on-deck mentality. Since the firm does not yet have an Office Manager, we are seeking someone who can help maintain an organized and efficient office environment, manage vendor contracts and facilities maintenance, partner with AV consultants on logistics and space planning, oversee office budgets and expenses, and serve as a key point of contact for building management and external vendors. We would love to find someone who also enjoys event planning and can take the lead on organizing team-building activities, happy hours, executive dinners, and all-hands meetings, ensuring all logistics are handled efficiently and professionally. Approximately 25% of the role will include personal support for the Partners, such as coordinating personal and family travel, scheduling appointments, managing errands, and ordering personal items as needed. Qualified candidates must have a bachelor’s degree or equivalent professional experience and at least seven years of experience supporting C-suite or senior executives in a fast-paced environment. The ideal candidate will be organized, detail-oriented, proactive, and adaptable under pressure. Advanced proficiency with Google Workspace and project management tools such as Asana is preferred. A positive attitude, a team-oriented approach, and a “no task is too small” mindset are key to success in this role. This role is in person, M-F, 8a-6p. You should have a 24/7 mentality.
